Privacy Policy.

This policy explains how Fleet Livery Group collects, uses and protects your personal information when you visit our website, place an order or get in touch, and the rights you have over it.

Who We Are.

Fleet Livery Group (FLG) is a trading name of Mambo Agency Ltd, registered in England and Wales, Company No. 07345023, VAT No. GB995737254. Our registered office is 1 Loxlay Close, Wincham, Northwich, Cheshire, CW9 6GQ.

We are the data controller for the personal information you give us through fleetliverygroup.co.uk, by phone or by email. This means we decide how and why it is used, and we are responsible for keeping it safe.

This policy explains what we collect, why we collect it, who we share it with and the rights you have under UK data protection law (the UK GDPR, the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations).

Information We Collect.

We only collect the information we need to make and deliver your signs and to look after you as a customer.

Information you give us

  • Your name, business name, email address and phone number
  • Your delivery and billing addresses
  • Your vehicle make, model and the products and options you choose
  • Your design brief, including logos, wording, photos of your vehicle and any notes
  • Messages you send us by email, phone or through the website

Information from our service providers

Card and PayPal payments are handled securely by Stripe and PayPal. We never see or store your full card details. They tell us whether a payment succeeded, the amount and limited details such as the card type and last four digits. Our couriers send us delivery and tracking updates.

Information collected automatically

When you use our website, essential cookies and similar technologies keep your basket and checkout working, and our hosting provider records basic technical details such as your IP address and browser type to keep the site secure. With your consent, Google Analytics shows us how visitors use the website, and the Meta Pixel records visits and orders from our Facebook and Instagram adverts. Our Cookie Policy explains these in full.

We do not ask for, and do not want to receive, sensitive information such as health details. Please leave it out of your design brief and messages.

How We Use It.

We use your information to:

  • Process your order and take payment
  • Design your signs, send you proofs and handle your revisions
  • Make, pack and deliver your order
  • Contact you about your order, including any questions about your artwork
  • Deal with returns, faults, complaints and your consumer rights
  • Keep accounting and tax records
  • Protect our website and customers against fraud and misuse
  • Measure our advertising, where you have agreed to marketing cookies, and understand how our website is used, where you have agreed to analytics cookies

Under UK data protection law we must have a lawful basis for using your information. We rely on: contract, to supply the products you order; legal obligation, to keep financial records; legitimate interests, to run, protect and improve our business, for example preventing fraud and dealing with enquiries; and consent, for analytics and marketing cookies.

We need your contact, delivery and order details to fulfil your order. If you don’t provide them, we won’t be able to make or deliver your signs.

We do not make decisions about you using only automated means. Our payment providers may run automatic fraud checks on payments, and if a payment is declined you can contact us and a person will look at it.

Marketing.

We do not sell your personal information.

We only send marketing emails or texts if you have asked us to, or if you have bought from us before and did not opt out when we collected your details. Every marketing message includes an easy way to unsubscribe, and you can also contact us at any time to stop them.

Facebook and Instagram adverts may be shown to you based on our Meta Pixel only if you accept marketing cookies. You can change your choice at any time in our cookie settings.

Who We Share It With.

We only share your information with trusted service providers who help us run our business, and only as much as they need. They act on our instructions and must keep your information secure. They include:

  • Webflow, which hosts our website and online shop
  • Stripe and PayPal, which process payments
  • UPS and DHL, which deliver your order
  • Google Workspace, which we use for email
  • Airtable, which we use to manage orders and production
  • Meta, only if you accept marketing cookies; Google (Google Analytics), only if you accept analytics cookies

We also use Zapier, which connects these services and sends our order, design brief and delivery emails, and Finsweet (Consent Pro), which records your cookie choices. Files you upload with your design brief are stored privately on Webflow Cloud for 3 days and then deleted; a copy is kept in Airtable with your order.

We may also share information where the law requires it, for example with HMRC or the police, to protect our rights or prevent fraud, or with professional advisers such as our accountants.

If our business is ever sold or restructured, your information may be passed to the new owner, who must use it in line with this policy.

Some of our providers store data outside the UK. Where they do, we make sure suitable safeguards are in place, such as a UK adequacy decision or the UK International Data Transfer Agreement or Addendum.

How Long We Keep It.

We keep order and payment records for six years after the end of the financial year they relate to, as required for tax and accounting purposes.

We keep your artwork and design files for as long as is reasonable so we can reprint or update your signs, unless you ask us to delete them.

Enquiries that do not lead to an order are deleted after two years. When we no longer need your information, we delete it securely.

Keeping It Safe.

We use secure, reputable providers, encrypted (HTTPS) connections on our website, and access controls so only people who need your information can see it.

If a data breach ever puts you at risk, we will tell you and report it to the ICO as the law requires.

Links on our site, such as to social media or courier tracking, take you to websites run by other companies. Their own privacy policies apply there, not ours.

Children.

Our products are for businesses and adults. We don’t aim our website at anyone under 18. If a child has sent us their details, let us know and we will remove them.

Your Rights.

Under UK data protection law you have the right to:

  • Ask for a copy of the personal information we hold about you
  • Ask us to correct information that is wrong or incomplete
  • Ask us to delete your information, where we no longer need it
  • Object to how we use your information, including for marketing at any time
  • Ask us to restrict how we use your information
  • Ask us to transfer your information to another organisation
  • Withdraw your consent at any time, where we rely on consent

To use any of these rights, contact us using the details below. We may need to confirm your identity first. We will respond within one month and there is normally no charge.

Complaints.

If you are unhappy with how we have handled your information, please tell us using the contact details below. We will acknowledge your complaint within 30 days, look into it, and let you know the outcome without undue delay.

If you are still not satisfied, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

Changes To This Policy.

This policy can change, for example when we start using a new service provider. The latest version will always be on this page, with the date it was last updated. If we make a significant change, we will let customers know.
